Kuali Build Conversion Guide for Students

A note about terminology:

The Honors Conversion Agreement is the form that establishes the Honors conversion by a specific student in a specific course. Both the student and the instructor approve the agreement.

The Conversion Plan is the part of the Honors Conversion Agreement that details the work that will be done for the conversion. Honors Conversion Agreements for independent study and independent research courses are the only ones that do not contain Conversion Plans.

Beginning of the semester

Important Preparation

  1. Review the information on this site, especially the Guidelines and Policy. Pay attention to the deadline for the Honors Conversion Agreement.
  2. Confirm that an Honors version of the course is not available for this semester. Use the Dynamic Class Search in Student Admin, limiting to Honors Classes only.
  3. Communicate with the instructor of the course to see whether they are willing to supervise a conversion and to determine what should go in the Conversion Plan. Alternatively, your instructor may let you know that they have already created a Conversion Plan that you can import.
  4. Confirm the subject code, course number, and section in which you are enrolled. Follow the View Credits for Current Classes instructions to confirm all three. For classes that have multiple components, you may need to drill down to determine which of the components is Graded. (This is usually, but not always, the discussion or lab section.)

Independent study or independent research course? You will need an approved Honors Conversion Agreement, but that Agreement will not include a Conversion Plan.

Submit an Honors Conversion Agreement

To start, open the Honors Conversion Agreement app on Kuali Build.
This will create a new document, which you can access later by opening Kuali Build and looking in the My Documents section.

This form makes use of several dynamic dropdown menus and conditional visibility.

  • Be patient while dropdowns load.
  • If part of the form is not visible, make sure that you have answered all of the questions that are visible.

The Conversion Plan you discussed with your instructor will be entered in the Conversion Plan section.

Independent study or independent research course? Your Honors Conversion Agreement will not have a Conversion Plan section.

Optional: Starting from an existing conversion plan

Your instructor may have already created a conversion plan for you to use. If so:

    1. Search for the class by subject code and catalog number
    2. If any plans are found, select your instructor from the drop-down list.
      This will populate the subject code and catalog number fields from the saved plan.
    3. Confirm that this is the correct course, then click the Apply plan button.
      This will fill in the rest of the Conversion Plan section.
    4. Review the Conversion Plan section carefully. You need to understand what you will be doing, and your instructor may have intended you to edit one or more of the fields!

Once you have completed the entire form, click the Submit button to send it to your instructor.

Instructor Approval

Your instructor will receive a task asking that they approve your Honors Conversion Agreement. You will receive an email when they approve, deny, or send it back to you for revision. Read the email you receive carefully.

You should not begin your conversion work until you receive email confirmation that your instructor has approved the agreement.

The approval notification also includes the fact that you have been assigned a new task to confirm the completion of your conversion work. You should not complete this task until the end of the semester.

Independent study or independent research course? Your approval notification will not include an assigned task.

At any time

Viewing the status of a conversion

You should monitor your Honors Conversion Agreement to make sure you meet all deadlines.

  1. Go to the My Documents section of Kuali Build and locate the agreement.
  2. The Status column will indicate whether the agreement is in progress, denied, or completed.
    Agreements are only completed once the instructor confirms Honors credit at the end of the semester.
  3. For more information, open the agreement and click the Workflow Status button at the top right.

During the semester

Withdrawing an Honors Conversion Agreement

You may withdraw an Honors Conversion Agreement at any time during the semester. This does not affect your enrollment in the course itself, but it does indicate that you will no longer be pursuing Honors credit for it. There is no penalty for withdrawing an Honors Conversion Agreement, and it will not be reflected anywhere on your transcript.

Please let your instructor know that you are withdrawing your conversion plan. This is also an opportunity to thank them for any work they have already done as part of supervising your conversion.

  1. Go to the My Documents section of Kuali Build.
  2. Locate and open the relevant Honors Conversion Agreement.
  3. Click the Withdraw button at the top right of the document, and then click the Withdraw button on the confirmation message.

The withdrawn Honors Conversion Agreement will still be visible in your document list.

End of the semester

Confirm completion of conversion work

Independent study or independent research course? You can skip this section.

At the end of the semester, go into your Kuali Build Action List and open your Honors Conversion Agreement. If needed, scroll down to the Student Conversion Completion section. Click the arrow next to the appropriate heading for instructions on confirming your submitted work, documenting an extension on your work, or withdrawing the conversion.

You must confirm that you have submitted your work before your instructor can approve your Honors Credit.

Instructor Final Review

Your instructor will be asked to approve or deny Honors credit for your conversion. To receive Honors credit, you must have earned a B- or better in the course and satisfactorily completed the conversion. You'll receive an email notification with the results of your instructor's review.

Posting of Honors credit

If your instructor posts your class grade and approves your Honors credit by the university's deadline for final grades, you should see Honors credit on your transcript within 2-3 weeks. (Please allow extra time for winter holidays.)

If either your course grade or the approval of your Honors credit is late, allow 4-5 weeks for manual processing.
